OfferLink Media

Privacy policy

Draft for review. This document was prepared for OfferLink Media and is awaiting review by the company's legal adviser. It describes how the website and portal are built to work.

This policy explains how OfferLink Media ("OfferLink Media", "we", "us") handles personal information collected through this website and our internal team portal.

Information we collect

When you contact us or apply to partner with us

Our forms ask for your name, email address and, depending on the form, your phone number, company, website, industry, campaign objectives, target markets, traffic sources, experience and any message you write. We also record when the form was sent and a one-way coded version of your network address, used only to limit spam.

When our team uses the internal portal

Team members have an account with their name, work email, contact details, role and an optional profile photo. The portal records sign-in activity and administrative actions for security.

Leads collected by our team

Our team records details of prospective customers and partners, such as names, contact details, location, the source of the contact, notes and any images or files provided. Access to these records is restricted to authorized administrators.

How we use information

  • To reply to inquiries and assess advertising or affiliate partnerships
  • To set up and manage partnerships we agree to
  • To run the team portal, including account security and reporting
  • To follow up with leads in line with the consent or legal basis under which they were collected
  • To meet legal, accounting and regulatory obligations

We do not sell personal information.

Cookies

The public website does not use advertising or analytics cookies. The team portal uses essential sign-in cookies set by WordPress, which identify the signed-in account and session and expire automatically.

Who we share information with

We use service providers to run our systems, who process data on our instructions:

  • Website, database and file hosting, including images and documents attached to leads
  • Google Workspace, where lead records are kept in a private spreadsheet
  • An email delivery service for account and notification emails

We share partnership details with advertisers or affiliate partners only when needed to run an agreed campaign, and we may disclose information where the law requires it.

How long we keep information

We keep inquiry and partnership information for as long as needed to respond and to manage any resulting relationship, and lead records for as long as they are needed for the purpose they were collected for, unless the law requires us to keep them longer.

Security

Passwords are stored only as secure one-way hashes, access to records is controlled by role, files are kept in private storage and administrative actions are logged. No system is perfectly secure, but we work to protect the information we hold.

Your rights

Depending on where you live, you may have the right to access, correct or delete your personal information, to object to or restrict certain uses, and to complain to a data protection authority. To make a request, contact us at our contact form.
